To dial a Salesforce CRM report in Koncert, the first step is to import the report into the platform. This feature is available only to the Salesforce customers.
PRE-REQUISITES: Before uploading your report, ensure it includes the following essential fields for a successful import:
- Contact/Lead Name
- Phone Number
Once your report is ready, you can upload it into Koncert via two tabs: Dialing Session and Lists.
- Dialing Session – The Reports can be uploaded directly through the Setting Summary window and can be dialed whenever needed.
- Lists – When Reports are added to the Lists tab, they can be uploaded and dialed whenever needed.
From the Dialing Session tab:
You can directly import a report from Salesforce into the Dialing Session tab. However, note that only one report can be uploaded at a time from this tab.
- If your Salesforce instance is not integrated with any Sales Engagement Platform, Salesforce will appear by default in the Source dropdown.
For integrations with Sales Engagement Platforms, you will need to select Salesforce from the dropdown list.
- The Search/Upload Lists & Follow-Ups section allows the users to search and import Call lists from Salesforce.
If no call lists are visible, the dropdown will show the 5 most recent call lists along with quick lists..
If you’ve already uploaded recent call lists, the dropdown will display only the last 4 uploaded lists.
You can directly search and import reports into the Dialing Session tab by selecting the report you wish.
- From this dropdown, you can select the desired report, and it will be automatically imported into the Dialing Session tab and ready for use.
NOTE:
- If the selected report is not already in the Lists tab, Koncert will automatically add it there for future reference.
- Additionally, users can search and import any available lists from the Lists tab and dial them as needed.
From the Lists tab:
To streamline your workflow, you can import reports into the Lists tab, which gives you the benefit of automatically updating the list with the most recent data from Salesforce. Additionally, the Lists tab displays important metrics (e.g., the number of dials, connects, and the most recent dial dates), giving you real-time insights into your call performance.
Below you can find how to import a report from the ‘Lists’ tab.
- Go to the ‘Lists’ tab in the Koncert portal.
- Click on Add Lists » Add from Salesforce.
- In the Add Records from Salesforce window, you can either:
Select Reports by Folder: Select the folder containing the report then select the report from the Report dropdown. Click the Refresh icon to update the folder list
or
Use the Search a Report tab to find and select your report by name.
Once you've selected a report, it will appear in the Save Your List As field.
- Click Next to configure the List Settings.
- Name – Defaults to the logged-in user name. Non-editable field.
- Company – Name of the Organization. Non-editable field.
- Battlecards – The Battlecards available under Administration » Battlecards are listed here. You can select the Battlecards you wish to use during dialing. These Battlecards will be displayed in the Settings Summary window under the Battlecards section.
- Click Next to import the report into the Lists tab. A notification window saying ‘Your List has been saved successfully!’ will be displayed. Click the Close
icon to close the window.
The selected report from the Salesforce CRM will be uploaded and listed in the Lists tab.
Upload to Session for dialing
Once you have imported the Call List(s) from the Salesforce CRM, the next step is to upload the Call List(s) into the Dialing Session tab for dialing.
Below you can find how to select and move the imported Call List(s) into the Dialing Session:
- In the Lists tab, check the box next to the call list(s) you wish to import into the Dialing Session.
- Assign a Calling Order (from 1 to 4) for each list. This helps organize the sequence in which they will be dialed.
- Once you’ve selected your lists and their calling order, click the Begin Import button to upload the lists to the Dialing Session tab.
NOTE: If multiple lists are selected, Koncert will alert you that the dialing settings from the first list will apply to all subsequent lists.
If you haven't selected a Calling Order, an alert will notify you before proceeding.
Click Confirm to begin and merge the lists or click the Close icon to choose the required Calling Order.
- The Import Status screen will show the upload progress of each file, including the number of records processed.
Troubleshooting Upload Issues: During the upload process, certain issues may arise if there are discrepancies in your data. Here are some common scenarios and how to handle them:
- Total Contacts – Number of prospects in the list
- Contacts Uploaded – Number of prospects that uploaded successfully
- Missing Contact Name(s) – If any records are missing the Contact Name field, those will not be uploaded.
- Missing/Invalid Phone Number(s) – Records with missing or invalid phone numbers (e.g., incomplete numbers or incorrectly formatted numbers) will also fail to upload.
- Duplicate Contact(s) – If there are duplicate records within the uploaded list(s), they will be excluded from the dialing session.
NOTE: To view more detailed information about these issues, click the Info icon next to each category (e.g., Duplicate Contacts, Missing Contact Names, etc.).
For example, clicking the Info icon next to Duplicate Contacts will bring up a Duplicate Records window where you can review and manage the affected records.
If you need to keep track of the issues or clean up your data, you can export the list as a CSV file by clicking the Export to CSV button. This allows you to download a copy of the records, including those with issues, for further review or correction.
- Once everything is ready, click Continue to proceed to the Dialing Session and begin your calls.
