From the Dialing Session tab » Settings Summary window » Voicemails section you can record, play, sort, or delete the voicemail.
Turn ON/OFF Voicemail – Use the Toggle button to Turn ON/OFF the Voicemail feature as needed. The toggle button is automatically turned on if any voicemail is selected while importing the file from the Lists tab.
Select Voicemail dropdown – Defaults to the Voicemail selected while importing the file from the Lists tab. If needed, the user i.e. Sales Rep, can change it before the dialing session starts.
Info icon - When you hover over the info icon, the below tooltip will be displayed.
Explore the Voicemail Experience:
Record a Voicemail:
- Voicemails can be recorded from the Dialing Session tab » Settings Summary window » Voicemails section.
- Click on the Record icon below the Voicemail dropdown.
NOTE: When you try to record a voicemail by clicking on the Record icon , without connecting to the phone bridge, the below alert message will be displayed.
- After the New Voicemail window pops up, enter the Voicemail Name of your preference and click Record.
NOTE: You cannot add spaces, but you can add characters.
- Once you have completed the recording, click the Stop button to end the recording.
- Click the Play button to listen to your recording or click the Save button to save the voicemail.
- You can find the newly recorded voicemails in the Select Voicemail drop-down.
Play a Voicemail
Select the voicemail that you wish to play from the Select Voicemail drop-down and click the Play link to listen to your recording.
Delete a Voicemail
You can delete the voicemail at any time as you wish

- In the Settings Summary window » Voicemails section, select the voicemail that you wish to delete from the Select Voicemail drop-down and click the Delete link.

- A confirmation message below will be displayed. Click Confirm to delete the voicemail.

- After successful deletion, the message shown below will be displayed.
Sort Voicemails
- Go to Settings Summary » Voicemails section and click on the Sort icon to the right of the Voicemail dropdown.
- After the Sort Voicemails window pops up, rearrange the VMs in the preferred order as you wish using the Up and Down buttons.
- Click Save to save the sequence. The voicemail will be listed in the Select Voicemail dropdown based on the order arranged.
How to drop VM during a Call?
Leave Voicemail for non-connected calls
AI drops the selected Voicemail, in case there is a trace of Voicemail on the Call, only if the option Upon VM detection, leave/skip VMs is selected and the Voicemail toggle is turned on in the Setting Summary window.
The following Call Dispositions will be logged automatically based on the scenarios:
- Left VM (AI) – If the user enables the pre-recorded voicemail, AI drops the voicemail.
- Left VM (AI) - Name Found – If the user enables pre-recorded voicemail, and AI drops the voicemail and recognizes the name in the Voicemail greeting.
- Left VM (AI) - Last Name Found – If the user enables pre-recorded voicemail and AI drops the voicemail and recognizes Prospect’s Last name in the Voicemail greeting.
- Went to Voicemail – If the user does not enable pre-recorded voicemail drop and AI recognizes the voicemail.
- Went to Voicemail - Name Found – If the user enables pre-recorded voicemail and AI detects the name in the Voicemail greeting.
- Went to Voicemail - Last Name Found – If the user enables pre-recorded voicemail and AI detects the last name part of the Voicemail greeting.
Play Voicemail for Connected Calls
The voicemail selected in the Settings Summary window is displayed in the Select Voicemail dropdown in the Call Disposition pop-up. The user can click the Play VM button to drop the Voicemail for the connected Calls.
Upon leaving the VM, the default disposition selected in the Create Call Log for each VM dropped under the Administration » Company Setup will be displayed as shown below. If needed you can change the disposition.
Customize the Voicemail settings for Sequence Steps
This is specifically designed for users of Apollo, Outreach, Salesloft, and Cadence. It allows you to assign unique voicemails to different steps within your sequences/cadences.
During dialing sessions, Koncert automatically drops the selected voicemails to prospects at the specified touches or steps.
After importing the sequences/cadences with different steps or touches, and enabling the Voicemail toggle, an option Choose a Voicemail for each step is made available under the Voicemail section.
NOTE: The option Choose a Voicemail for each step will not be available when you import Pending Calls or Manual Calls.
Upon selecting this option, a pop-up prompts users to choose specific voicemails for each step or touch.
Once the voicemails are selected, clicking Save will apply these settings. The users can use this setting while importing specific sequenced prospects.
Voicemail Feature Limits Dialing to One Phone Column
The dialing will be initiated for only one phone column when Voicemail is enabled. If multiple phone columns are selected, the below alert will be displayed.
What will happen to Voicemail settings if you refresh or reset the list?
If the VM Toggle is enabled and you refresh or reset the list using the Refresh/Reset buttons before starting a session, the following alert will appear.
Yes – The list will be refreshed or reset with the VM toggle in the ON position.
No – The list will be refreshed or reset with the VM toggle in the OFF position.
NOTE: For Reset action, this alert will be prompted after confirming the reset process.
If you have enabled the option Refresh Lists Automatically under the Setting Summary window » Advanced section, the above alert will be displayed and the following action will take place once the session starts:
Yes – The alert prompting for refresh will be displayed. The VM toggle will remain ON even if you select Do Not Refresh or Yes in the above alert.
No – The subsequent alert prompting for refresh will be displayed. The VM toggle will remain OFF even if you select Do Not Refresh or Yes in the above alert.
