Whether you want your voicemail to sound warm and welcoming, professional, or a bit more playful, you’re in full control. Get ready to leave a lasting impression on your callers with personalized voicemail greetings.
You can manage your voicemail settings from the Dialing Session tab » Settings Summary window » Voicemails section. From here, you can record, play, sort, or delete voicemails as needed.
Voicemail Controls:
Turn ON/OFF Voicemail – Use the toggle button to enable or disable the Voicemail feature.
Select Voicemail dropdown – Select the voicemail to be sent to the prospects.
Info icon – Hover over the info icon to view a helpful tooltip providing additional information.
Explore the Voicemail Experience:
Record a Voicemail:
- Navigate to the Dialing Session tab » Settings Summary window » Voicemails section.
- Click on the Record icon
beneath the Voicemail dropdown.
NOTE: If you try to record a voicemail without being connected to the phone bridge, an alert will appear.
- In the New Voicemail window, enter your desired Voicemail Name (no spaces and symbols allowed, but characters are permitted), then click Record to begin recording your message.
- After recording, click the Stop to end the recording.
- You can click the Play button to review your recording or click Save to store the voicemail.
- Your newly recorded voicemail will appear in the Select Voicemail dropdown for future use.
Play a Voicemail
From the Select Voicemail dropdown, select the voicemail you wish to listen to. Click the Play link to hear the recording.
Delete a Voicemail
You can delete the voicemail at any time as you wish.
- In the Settings Summary window » Voicemails section, select the voicemail that you wish to delete from the Select Voicemail drop-down and click the Delete link.
- A confirmation message below will be displayed. Click Confirm to delete the voicemail.
- After successful deletion, the message shown below will be displayed.
Sort Voicemails
- In the Settings Summary window » Voicemails section, click the Sort
icon next to the Select Voicemail dropdown.
- In the Sort Voicemails window, use the Up
and Down
arrows to reorder the voicemails as desired.
- Click Save to confirm the new order. The voicemails will be listed in the Select Voicemail dropdown according to your preferred sequence.
How to drop VM during a Call?
Leave Voicemail for non-connected calls
When AI detects a voicemail during a non-connected call, it will drop the selected voicemail if the "Upon VM detection, leave/skip VMs" option is enabled and the voicemail toggle is ON in the Settings Summary window.
The following Call Dispositions will be logged automatically based on the scenarios:
- Left VM (AI) – If the user enables the pre-recorded voicemail, AI drops the voicemail.
- Left VM (AI) - Name Found – If the user enables pre-recorded voicemail, and AI drops the voicemail and recognizes the name in the Voicemail greeting.
- Left VM (AI) - Last Name Found – If the user enables pre-recorded voicemail and AI drops the voicemail and recognizes Prospect’s Last name in the Voicemail greeting.
- Went to Voicemail – If the user does not enable pre-recorded voicemail drop and AI recognizes the voicemail.
- Went to Voicemail - Name Found – If the user enables pre-recorded voicemail and AI detects the name in the Voicemail greeting.
- Went to Voicemail - Last Name Found – If the user enables pre-recorded voicemail and AI detects the last name part of the Voicemail greeting.
Play Voicemail for Connected Calls
For connected calls, the voicemail selected in the Settings Summary window is shown in the Select Voicemail dropdown of the Call Disposition pop-up. The user can click Play VM to drop the voicemail during the call.
Once the voicemail is dropped, the disposition selected in the Create Call Log for each VM dropped section under Administration » Company Setup will appear. If needed, users can change the disposition.
Customized Voicemail Settings for Phone Columns
You can customize the voicemail settings for each Phone Column in the Voicemail section i.e. you can assign unique voicemails to specific phone fields. Koncert will automatically drop the selected voicemail for prospects at the assigned phone field during the dialing session.
Once the Voicemail toggle is enabled, an option Choose a Voicemail for Each Phone Field becomes available in the Voicemail section.
NOTE: This option is not applicable for sequences or cadences for prospects in Sales Engagement platforms.
When selecting this option, a pop-up prompts users to choose specific voicemails for each phone field.
Play – Listen the selected voicemail.
Stop – Stop listening.
Save – Clicking will apply the settings.
NOTE:
If no voicemail is assigned to other fields, no voicemail will be dropped for those columns.
You cannot close or save this window without selecting a voicemail for at least one phone field. If no voicemail is selected, an alert message will appear when attempting to save or close the pop-up.
If a voicemail is selected from the Select Voicemail dropdown but no other voicemails are chosen for additional phone columns, the selected voicemail will be applied to the first phone column by default.
Reset Notification
If changes are made to the phone fields, the voicemail assignments will reset. The Info icon next to the Phone Fields displays the below tooltip when hovered over.

Customize the Voicemail settings for Sequence Steps
This is specifically designed for users of Apollo, Outreach, Salesloft, and Cadence. It allows you to assign unique voicemails to different steps within your sequences/cadences.
During dialing sessions, Koncert automatically drops the selected voicemails to prospects at the specified touches or steps.
After importing sequences or cadences with different steps/touches and enabling the voicemail toggle, an option to Choose a Voicemail for Each Step becomes available in the Voicemail section.
NOTE: This option will not be available when importing Pending Calls or Manual Calls.
Upon clicking this option, a pop-up will prompt you to select specific voicemails for each step or touch in the sequence.
Once the voicemails are selected, clicking Save will apply these settings. After saving, the selected voicemails will be applied to the respective sequence steps during dialing sessions.
What happens to Voicemail Settings If you refresh or reset the List?
If the VM Toggle is enabled and you refresh or reset the list before starting a session, the following alert will appear:
- Yes – The list will refresh or reset with the voicemail toggle in the ON position.
- No – The list will refresh or reset with the voicemail toggle in the OFF position.
NOTE: This alert will appear after confirming the Reset action.
If the Refresh Lists Automatically option is enabled under the Settings Summary window » Advanced section, the voicemail toggle will remain ON even if you choose Do Not Refresh or Yes in the alert prompt.

Yes – The alert prompting for refresh will appear, and the voicemail (VM) toggle will remain ON, even if you select Do Not Refresh or Yes in the alert.

No – The subsequent alert prompting for refresh will appear, and the voicemail (VM) toggle will remain OFF, regardless of whether you select Do Not Refresh or Yes in the alert.
