Lead Pooling is an innovative feature, intended and developed only for Salesforce lists, especially that contain a high volume of records, to connect with more decision-makers in less time, improving sales productivity. It can also be referred to as a List Batching. This feature will be enabled on a request basis.
The underlying strategy used in the Lead Pool Session enables equal allocation of records in the Lead Pool List among the users (Sales Reps) automatically.
Prerequisites for Salesforce Admin:
- Lead Pooling works with the objects - Leads and Contacts.
- Custom Fields:
- It is mandatory to create a new custom field Sent to Koncert with the field type of Checkbox. By default, this box should be unchecked (false). This field will be used by Koncert to track prospects being queued for dialing. Incase if the field Sent to Koncert is not created, the below alert will be displayed when importing a lead pool list into Lists tab.
- Koncert recommends to create a Call Counter field of Number Type if your team opts to dial prospects multiple times. This information can be used to create specific Lead Pooling lists connected to call attempts.
- Koncert also suggests to create a field Sales Rep Disposition of Text Type. This allows you to filter out connected calls.
- Once you've created these fields, please contact Koncert Support at support@koncert.com with the API name in Salesforce to map to your site.
- Salesforce Reports
- All reports uploaded to Koncert must include a column named Sent to Koncert. Filter criteria for this column should be False.
- You can add any other relevant columns to your report.

- If you want Koncert to process the recently created contacts, you can add the sort by based on the Created Date “descending”. This will prioritize your recently added contacts to your Users' dialing sessions while using Lead Pooling.
- Best Practices for Koncert Lead Pooling Reports in Salesforce
Here are some best practices to follow when building your Salesforce reports for Koncert's Lead Pooling feature:
- DNC: Exclude any prospects who have opted out of receiving calls by filtering out records marked as Do Not Call.
- Remove Connected Prospects: Exclude any prospects you have already connected with and had conversations with from your Salesforce report. You can achieve this by using the Sales Rep Disposition field in your Koncert custom field.
- Limit Dial Attempts: Remove records of prospects you do not wish to dial more than a specified number of times. Use the Increment Call Counter to manage this.
- Filter by Time Zone: Select and filter for only those states within your Salesforce report. For example, if you want to call only EST, then select only those states within the EST region in your report for better efficiency.
- Filter by Phone Type: If you want to only call Mobile phone numbers in your Lead Pooling session, add a filter stating Mobile not equal to empty so that all prospects in your Salesforce report have Mobile phone numbers. This applies for any phone columns you want to dial.
Koncert Manager
The Sales Manager can assign a Lead Pool List to the users. This will be directly added to the assigned user's Lists tab.

Koncert Users
The assigned Lead Pool Lists are highlighted in ‘blue’ as shown below.
From there, they can upload into the Dialing Session tab and initiate the dialing session.
