The Cadence module allows users to upload lists three different ways:
Import from CRM, Import from CSV and Import from Customer Portal.
IMPORTANT NOTE
Depending on the type of license (CRM or Non-CRM), the user interface (UI) of the Prospects tab will differ; i.e., the Import from CRM button will not be available for Non-CRM/Standalone users.
Import from CRM (only for CRM users)
If you are a CRM user and have logged into Koncert with your CRM Credentials, find the steps below to upload a prospects report from your CRM.
- In the Cadence » Prospects tab, click on the Import CRM button.
- The Upload List(s) popup window will be displayed.
- Choose one of the following options to import prospects from a CRM:
Select the option ‘Show Reports from all folder(s)’ to view prospect reports from all folders.
OR
Select the option ‘Choose folder from dropdown below’ to choose a prospect report from a folder.
When selecting this option, a dropdown will be enabled to choose a report folder.
Select Report Folder – Select a folder from the dropdown where your prospect report is saved.
The Refresh icon next to the dropdown allows you to refresh your report folders.
- Click Next to select a prospects report(s) from the selected folder. You can select a maximum of 4 reports at once.
Enter or select a tag name in the Tag your list(s) field, which helps to search your prospects.
If you have not tagged your list, the Tag Info window will pop up as shown below.
Click Continue to proceed without tagging the list or click Add Tag to stay on the Upload List(s) window to tag the list.
Select the user. By default, logged-in user will be selected.
Select the desired Cadence from the Add to Cadence dropdown to which the prospects to be assigned directly.
IMPORTANT NOTE
When you are trying to import more than 4 reports at once, the following error message will be displayed, when the Next button is clicked:
- After selecting the required prospects report(s) from the folders, click Next to upload the report(s).
- The reports will be uploaded, and the upload status will be displayed in the Upload List(s) popup window for each file.
In the Upload List(s) popup window, you will see the following:
a. How many records were successfully uploaded?
b. Owner – Name of the user/manager who uploaded the list.
c. Total # of Prospects – Number of prospects in the list highlighted in Blue color.
d. Prospects Uploaded – Number of prospects uploaded successfully and highlighted in Blue color.
e. Assigned to Cadence – Number of prospects to the selected cadence.
f. Missing Contact Name(s) – Number of prospects failed to upload due to missing a Contact Name
g. Missing/Invalid Phone Number(s) – Number of prospects failed to upload due to the missing a Phone Number across all phone columns
h. Missing/Invalid Email(s) – Number of prospects failed to upload due to the missing an Email ID
i. Duplicate Contacts – Number of prospects failed to upload due to duplication and highlighted in Blue color.
j. Missing/Invalid Email(s) &Phone(s) Number of prospects failed to upload due to the missing an Email ID and Phone number.
IMPORTANT NOTE
During Import, if you have any duplicate records (or contacts) or records with invalid contact names, invalid/missing phone numbers and invalid/missing Emails, then those records will not be imported into Cadence. Also, you will be able to see what field is missing or duplicated and the record count, as shown below:
If any tags are assigned to these non-imported prospects during the import process, they will be retained and appended to the existing records in Cadence, without replacing or overwriting the existing tags.
Click on the count of duplicate contacts to view the details of the duplicate contacts.
Click on the Export to CSV button to export the report of duplicate prospects.
Click Close icon to close the Upload List(s) window. The uploaded prospects will be listed in the Prospects tab.
Import from CSV
Both CRM and Non-CRM users can use this feature to upload prospects list(s) from their computer (in CSV format).
Pre-requisites
Please ensure the following pre-requisites are met before uploading a CSV file:
The file size should not be greater than 3MB
The first row of the CSV file should contain Column Headers
Column headers should not be blank
Ensure that there is no space before or after headers
No duplicate headers
No blank columns between other data
Mandatory Columns: Account Name (i.e. Company name), Contact Name and Phone Number
If any record is missing a contact name or a phone number, that record will not be uploaded into Cadence. Also, if any record with an invalid phone number i.e. less than or greater than 10 numbers hat record will not be uploaded into Cadence
If any of the above pre-requisites are not met, then the CSV file cannot be uploaded, and an error will pop up explaining what is missing.
Find the steps below to import the prospects list(s) from a computer:
- In Cadence » Prospects tab, click on the dropdown icon available next to the Import from CRM button, then click the Import from CSV button.
- The Upload List From File popup window will be displayed.
- Click on the Browse button and select the required CSV file from your computer. The selected file name will be displayed.
Upload List for - Only the logged in user’s name will be available under the Select the User dropdown, only managers can upload a prospect list for another user.
Enter the tag name and click on the + Add option to add a tag or select a tag name in the Tag your list(s) dropdown, which helps to search your prospects.
NOTE: The Tag name allows users to have a reference to find prospects that have been uploaded, in the future. If you have not tagged your list, the Tag Info window will pop up as shown below. Click Continue to proceed without tagging the list or click Add Tag to stay on the Upload List From File window to tag the list.
Click Add Tag to go back to Upload List From File window and tag the list, or Click Continue to skip the process and to continue uploading the list
Select the cadence from the Add To Cadence dropdown to directly add the importing prospects to a cadence if needed. The available Cadences are categorized into My Cadences and Shared Cadences.
- Click Upload to set the Column Mappings.
- The Set Column Mappings section provides you a list of Koncert Field names and CSV Fields in a dropdown to choose from.
Map the appropriate columns in the CSV Fields with the corresponding Koncert Fields. If the column headers in the CSV file are the same as the Koncert Field names, then the table mapping will be mapped automatically. Also an Is mapped? field is filled with the automatically mapped information.
You can save the current mappings for the future, using the Save New Mapping option. Enter the name in the Save New Mapping as field and click the Tick icon to save the current mapping.
NOTE: Your mapping needs to be completed before saving a New Mapping.
Existing mappings are available in the Use Mapping dropdown to map them instantly during future uploads.
To remove an existing mapping, select the mapping and click the Delete icon next to it.
- Click Save to upload the list. The files will be uploaded and the upload status will be displayed in the Upload List From File popup window, i.e., the number of imported/available records.
Click the Close button to close the window. The prospects uploaded will be displayed in the grid.
IMPORTANT NOTE
During Import, if you have any duplicate records (or contacts) or records with missing contact names, invalid/missing phone numbers, and invalid/missing Emails, then those records will not be imported into Cadence.

Click on the count of duplicate contacts to view the details of the duplicate contacts. Click on the Export to CSV button to export the report of duplicate prospects.
Import from Customer Portal
Another easy way to upload prospects to a Cadence is from the My Lists tab in the Customer portal.
- Within the My Lists tab, select the list(s) that you want to assign to a Cadence.
- Then click on the Actions dropdown and select the option Add to Cadence.
- After the Assign to a Cadence window pops up, select a Cadence from the dropdown and choose/enter the Tag.
- Click Start Cadence to assign the prospects list(s) to the selected Cadence.
